Software tips

The following are some tips for working with the device software.
How do I gain access to the device features?

Scanning to e-mail

To scan to e-mail by using the SCAN TO button on the device control panel, use the following instructions. Note To use this feature in Windows, an e-mail recipient must be programmed in the Scan to tab. See Programming the device Scan to button. For Macintosh operating systems, set up this function from the Monitor Device tab. See the HP Director online Help. 1. Load the originals that are to be scanned face-up in the automatic document feeder (ADF) input tray. Adjust the media guides to hold the originals in place. OR Lift the flatbed scanner lid and load the original that is to be scanned face-down on the flatbed scanner with the upper-left corner of the document at the lower-right corner of the glass. Gently close the lid. 2. On the device control panel, press SCAN TO. Note On the HP Color LaserJet 2830 all-in-one control panel, press SCAN TO EMAIL. 3. Use the < or the > button to select an e-mail recipient. 4. Press START SCAN or ENTER. The scanned item is attached to an e-mail message, which is then sent automatically to the e-mail recipient that you selected.

Scanning to a folder

To scan to a folder by using the SCAN TO button on the device control panel, use the following instructions.
To use this feature in Windows, a folder must be set up in the Scan to tab prior to use. See Programming the device Scan to button. 1. Load the originals that are to be scanned face-up in the automatic document feeder (ADF) input tray, with the top of the document forward, and adjust the media guides. OR Lift the flatbed scanner lid and load the original that is to be scanned face-down on the flatbed scanner with the top, left corner of the document located in the lower-right corner of the glass. Gently close the lid. 2. On the device control panel, press SCAN TO.
On the HP Color LaserJet 2830 all-in-one control panel, press SCAN TO FOLDER. 3. Use the < or the > button to select a folder. 4. Press START SCAN or ENTER. The document is scanned to a file, which is then saved in the folder that you selected in step 3.

Scanning to a software program
To scan to a software program, you scan an item using the program itself. Any TWAINcompliant program can scan an image. If the program that you are using is not TWAINcompliant, you can save the scanned image to a file and then place, open, or import the file in the software program. For more information, see Scanning by using TWAIN-compliant and WIA-compliant software.
Using page-by-page scanning
Note For best results, load originals in the automatic document feeder (ADF) input tray, not the flatbed scanner. 1. Load the originals that are to be scanned face-up in the ADF input tray. Adjust the media guides to hold the originals in place. 2. If the device is connected directly to your computer, the HP Director opens after you insert an item into the automatic document feeder ADF input tray. If the HP Director does not automatically open, double-click the desktop alias for the HP Director. 3. To open the HP LaserJet Scan dialog box, click the HP LaserJet Scan button in the HP Director. 4. Specify an image type. 5. Click Scan. 6. After the scan process has finished, click Scan next page. 7. Repeat step 6 for each page of the original. 8. After all of the pages have been scanned, click Send Now!. OR Click the Save As icon to save the pages to a file.
Scanning by using TWAIN-compliant and WIA-compliant software
The device is TWAIN-compliant and Windows Imaging Application (WIA)-compliant. The device works with Windows-based and Macintosh-based programs that support TWAINcompliant or WIA-compliant scanning devices.
Using TWAIN-compliant and WIA-compliant software
While you are in a TWAIN-enabled or WIA-enabled program, you can gain access to the scanning feature and scan an image directly into the open program. For more information, see the Help file or the documentation that came with your TWAIN-compliant or WIAcompliant software program.
Scanning from a TWAIN-enabled program
Note The Macintosh device software complies with TWAIN Version 1.9 requirements. Generally, a software program is TWAIN-enabled if it has a command such as Acquire, File Acquire, Scan, Import New Object, Insert from, or Scanner. If you are unsure whether the program is compliant or you do not know what the command is called, see the software program Help or documentation. When scanning from a TWAIN-enabled program, the HP LaserJet Scan software program might start automatically. If the HP LaserJet Scan program starts, you can make changes while you are previewing the image. If the program does not start automatically, the image goes to the TWAIN-enabled program immediately. To scan from a TWAIN-enabled program Start the scan from within the TWAIN-enabled program. See the software program Help or documentation for information about the commands and steps to use.

Scanning from a WIA-enabled program (Windows XP only)
WIA is another way to scan an image directly into a software program, such as Microsoft Word. WIA uses Microsoft software to scan, instead of HP LaserJet Scan software. Generally, a software program is WIA-enabled if it has a command such as Picture/From Scanner or Camera in the Insert or File menu. If you are unsure whether the program is WIA-enabled, see the software program Help or documentation. To scan from a WIA-enabled program Start the scan from within the WIA-enabled program. See the software program Help or documentation for information about the commands and steps to use. OR In the Cameras and Scanner folder, double-click the device icon. This opens the standard WIA-enabled software program, which enables you to scan to a file.
Scanning a photo or a book
Use the following procedures to scan a photo or a book.

Scanning a photo

1. Place the photo on the flatbed scanner with the picture-side down and the upper-left corner of the photo in the lower-right corner of the glass.
2. Gently close the lid. 3. You are now ready to scan the photo by using one of the scanning methods. See Understanding scanning methods for more information.

Scanning a book

4. You are now ready to scan the book by using one of the scanning methods. See Understanding scanning methods for more information.
Scanning by using optical character recognition (OCR) software
You can use third-party OCR software to import scanned text into your preferred wordprocessing program for editing.

Readiris

The device software CD-ROMs include the Readiris OCR program. If you want to use the Readiris program, install it from the appropriate software CD-ROM, and then follow the instructions in the online Help.
Scanner resolution and color
If you are printing a scanned image, and the quality is not what you expected, you might have selected a resolution or color setting in the scanner software that does not match your needs. Resolution and color affect the following features of scanned images: Image clarity Texture of gradations (smooth or rough) Scan time File size
Scanning resolution is measured in pixels per inch (ppi). Color, grayscale, and black and white define the number of colors possible. You can adjust the scanner hardware resolution to up to 1200 ppi. The software can perform an enhanced resolution up to 9,600 ppi. You can set color and grayscale at 1 bit (black and white), or at 8 bit (256 levels of gray) to 24 bit (true color). The resolution and color guidelines table lists simple tips that you can follow to meet your scanning needs. Note Setting the resolution and color to a high value can create large files that take up disk space and slow the scanning process. Before setting the resolution and color, determine how you are going to use the scanned image. The best resolution for color and grayscale images is achieved by scanning from the flatbed scanner rather than from the automatic document feeder (ADF).

Resolution and color guidelines
The following table describes the recommended resolution and color settings for different types of scan jobs.

Intended use Fax E-mail

Recommended resolution 150 ppi 150 ppi
Recommended color settings Black and White Black and White, if the image does not require smooth gradation Grayscale, if the image requires smooth gradation Color, if the image is in color Black and White Black and White for text and line art Grayscale for shaded or colored graphics and photos Color, if the image is in color

Where to look for jams

Jams can occur in these locations: inside the device in output areas in the automatic document feeder (ADF)
Find and remove the jam by using the instructions on the following pages. If the location of the jam is not obvious, first look inside the device.
Loose toner might remain in the device after a jam. This problem typically resolves itself after a few sheets have been printed.
If the media has jammed where it exits the device, complete the following steps. CAUTION Do not use a sharp object, such as a pencil or scissors, to remove jammed media. 1. Push the scanner-release button to open the scanner assembly, and then open the top cover. 2. On the back of the device, open the rear-output door, and then push down the fuser levers.
4. Return the fuser levers to their original upward position, and then close the rear-output door. 5. Close the top cover and the scanner assembly. Note If you turned the device off before clearing the media jam, turn it on again, and then restart your printing or copying job.
If the jam is too far into the device to remove, you might have to remove the fuser. To do so, complete the following steps. 1. Turn off the device, and then disconnect the power cable. 2. Rotate the locks on the fuser to the unlocked position.
Media jams occur in the automatic document feeder (ADF)
Occasionally, media becomes jammed during a copy, scan, or fax job. You are notified of a media jam by the Doc feeder jam Clear, Reload message that appears on the device control-panel display. The ADF input tray is loaded incorrectly or is too full. See To load originals into the automatic document feeder (ADF) for more information. The media does not meet HP specifications, such as those for size or type. See Media specifications for more information.
3. Lifting the green lever, rotate the pick mechanism until it stays open.
4. Gently try to remove the page without tearing it. If you feel resistance, go to the next step.
5. Open the ADF lid and gently loosen the media by using both hands.
6. When the media is free, gently pull it out in the direction shown.

Print problems

Print quality problems
Occasionally, you might encounter problems with print quality. The information in the following sections helps you identify and resolve these issues. Note If you are having copy problems, see Copy problems.

The paper lot is flawed. The manufacturing processes can cause some areas to reject toner. The imaging drum might be defective.
Vertical streaks or bands appear on the page.

Solving print-media problems
The following problems with paper cause print quality deviations, jamming, or even damage to the device.
Problem Poor print quality or toner adhesion
Cause The paper is too moist, too rough, too heavy or too smooth, or it is embossed or from a faulty paper lot. The paper has been stored incorrectly. The paper has variability from one side to the other.
Solution Try another kind of paper, between 100 and 250 Sheffield, 4 to 6% moisture content. Store paper flat in its moistureproof wrapping. Turn the paper over. Open the rear output bin, or use long-grain paper. Turn the paper over. Use paper that is free of cutouts or perforations. Use high-quality paper that is made for color laser printers. Turn the paper over. Try another kind of paper, between 100 and 250 Sheffield, 4 to 6% moisture content. Open the rear output bin, or use long-grain paper. Remove all media from the input tray, straighten the stack, and then load the media in the input tray again. Adjust the media guides to the width and length of the media that you are using and try printing again.
Dropouts, jamming, or curl

Excessive curl

The paper is too moist, has the wrong grain direction, or is of short-grain construction The paper varies from side-toside.
Jamming, damage to device Problems with feeding
The paper has cutouts or perforations. The paper has ragged edges. The paper varies from side-toside. The paper is too moist, too rough, too heavy or too smooth, has the wrong grain direction, or is of short-grain construction or it is embossed or from a faulty paper lot.
Print is skewed (crooked).
The media guides might be incorrectly adjusted.
Problem More than one sheet feeds at one time.
Cause The media tray might be overloaded. The media might be wrinkled, folded, or damaged.
Solution Remove some of the media from the tray. See Loading trays. Verify that the media is not wrinkled, folded, or damaged. Try printing on media from a new or different package. If Manual feed appears on the device control-panel display, press ENTER to print the job. Verify that the device is not in manual feed mode and print your job again.

Solving scan-quality problems
Problem Blank pages Cause The original might have been loaded upside down. Solution In the automatic document feeder (ADF), put the top end of the stack of originals into the ADF input tray, with the media stack face-up and the first page to be scanned on top of the stack. On the flatbed scanner, place the original document facedown with the upper-left corner of the document at the lowerright corner of the glass. Too light or dark The resolution and color levels may be set incorrectly. Verify that you have the correct resolution and color settings. See Scanner resolution and color. Clean the flatbed scanner surface. See To clean the scanner glass. Clean the ADF glass. See To clean the scanner glass. Clean the flatbed scanner surface. See To clean the scanner glass. Black dots or streaks

Ink, glue, correction fluid, or an unwanted substance might be on the glass. The resolution and color levels may be set incorrectly.

Unclear text

Copy problems
This section helps you identify and resolve copying problems.
The following are a few simple steps you can take to improve copy quality: Copy from the flatbed scanner. This will produce a higher quality copy than copying from the automatic document feeder (ADF). Use quality originals. Load the media correctly. If the media is loaded incorrectly, it might skew, causing unclear images and problems with the OCR application. See Loading documents to scan for instructions. Use or make a carrier sheet to protect your originals.
Verify that the media meets HP specifications. If the media meets HP specifications, recurring feed problems indicate the copier/separation pad is worn. Contact HP Customer Care. See Service and support or the flyer that came in the printer box.

Image problems

Problem Images are missing or faded. Cause One or more print cartridges might be low. The original might be of poor quality. Solution Replace any low print cartridges. See Changing a print cartridge. If your original is too light or damaged, the copy might not be able to compensate, even if you adjust the contrast. If possible, find an original document in better condition. Colored backgrounds might cause images in the foreground to blend into the background, or the background might appear in a different shade. If possible, use an original document without a colored background.
The original might have a colored background.
Problem Vertical white or faded stripes appear on the copy.
Cause The media might not meet HP specifications. One or more print cartridges might be low.

Solution Use a software program to print the photo from your computer. Print photos directly from the memory card by using the control panel. Install HP supplies in the device and reprint the proof sheet.

Software overview for Windows
This chapter provides information about the following topics: Operating systems Software component information HP Extended Capabilities HP Director Scanning system HP Send Fax software Available product configurations Supported third-party software NOTE For information about the HP LaserJet all-in-one software for Macintosh operating systems, see Macintosh software overview.

Operating systems

This section contains information about the following topics: Supported Windows operating systems Windows system requirements Printing from other operating systems
Supported Windows operating systems
The all-in-one software for the HP Color LaserJet 2820/2830/2840 all-in-one products supports the following operating systems.
Fully supported operating systems
The following Windows operating systems fully support the HP Color LaserJet 2820/2830/2840 all-inone through the software installer, and drivers for these operating systems are available on the software CD that comes with the product. Microsoft Windows 98 Second Edition (Windows 98 SE) Windows 98 Millennium Edition (Windows Me) Microsoft Windows 2000 Microsoft Windows XP (32-bit) NOTE Microsoft Windows 98First Edition does not support the HP Color LaserJet 2820/2830/2840. Windows 98 SE and Windows Me support only the Minimum Installation, not the Typical Installation.
Print-only supported operating systems
The following operating systems have print-only support for the HP LaserJet all-in-one product software. Windows XP Intel 64-bit (driver available only on the Web) Windows Server 2003 (driver available only on the Web) Windows NT 4.0 (network connection only; driver available only on the Web)
You must use the Add Printer Wizard to install the print driver for these operating systems. The print driver for these operating systems is available at the HP support Web site for your product: www.hp.com/support/clj2800series
Windows system requirements
The HP Color LaserJet 2820/2830/2840 all-in-one products can function as standalone copiers (and, in the case of HP Color LaserJet 2830 and HP Color LaserJet 2840 all-in-one products, standalone fax machines) without installing the software, but certain functions are not available unless the full HP LaserJet all-in-one software is installed. If you have a computer, HP strongly recommends installing

Chapter 2

the HP LaserJet all-in-one software. This provides the full functionality of the HP LaserJet all-in-one products and is the easiest method for setting required features. The HP LaserJet all-in-one software has the following minimum system requirements.

Figure 4-10 Paper tab - HP Traditional PCL 6 Driver The Paper tab contains the following options. Print Task Quick Sets Paper Options Document preview image Printer image
Use the Print Task Quick Sets control to store the current combination of driver settings that are found on all other driver tabs. Print task quick sets are either preset or user-defined printing specifications, such as paper size and pages per sheet. For more information, see Print Task Quick Sets in the Finishing tab section of this guide.

Paper Options group box

The settings specified in the Paper Options group box on the Paper tab apply to all of the pages of the document. The following illustration shows the Paper Options group box and the selections that are available by default.
Figure 4-11 Paper Options group box The appearance of the Paper Options group box changes when the Use Different Paper/Covers check box is selected. In this section of this guide, the settings in the Paper Options group box are described below in the following order: Size is: Custom Paper Size Use Different Paper/Covers check box Use Different Paper/Covers options Source Is: drop-down menu Type is: drop-down menu
Size is: The Size is: setting is a drop-down menu that lists all of the supported media sizes. You can specify size for all the settings in the Paper Options group box. You must use the same size of media for the entire print job. That is, if the print job uses Letter-size media, any option that you select from the available Use Different Paper options must also use Letter-size media. NOTE Certain software programs can override the size command and specify different media sizes within a single document. For the Other Pages and Back Cover settings, you can select a source (tray) and media type that differ from the settings selected for First Page. If a conflict exists among media source, media size, and/or ENWW 121
media type, and you choose to keep the conflicting settings, the settings are processed in the following order: media size, media type, and then media source. Because driver settings are overridden by media-size settings in most software programs, it is generally best to use the driver to set media size only for software programs that lack a media-size setting, such as NotePad, or when you are producing a book or a booklet that does not require different media sizes. NOTE When you use a software program with a media-size setting, you can specify different media sizes within a single document by using the Use Different Paper/Covers options. For more information, see the Size is: section of this chapter. For information about media sizes, see the Media types and sizes section of this guide. Custom Paper Size The Custom Paper Size dialog box appears when you click the Custom button on the Paper tab. The following illustration shows the initial appearance of the Custom Paper Size dialog box.

Specifies the format for PostScript files. In general, use PostScript (optimize for speed) for printing a document. To create a file that conforms to the Adobe Document Structuring Conventions (ADSC), click PostScript (optimize for portability - ADSC). Each page of the document will be a fully self-contained object. This is useful if you want to create the PostScript file and print it on a different printer. If you want to include this file as an image in another document that will be printed from a different program, click Encapsulated PostScript (EPS). The Archive format creates a PostScript data stream that gets stored in a file that you can use later. This does not take advantage of any printer device features.
If you have an HP printer that supports both PostScript and another printer language, you may need to click PJL archive format. This notifies the printer that the document is being printed in a different printer language.

PostScript header

Specifies whether to send header information to the printer each time you print a document. If you print to a local printer, you can save printing time by sending the header information to your printer only once. However, sending header information each time you print a document is sufficient for most types of printing, and is especially recommended if you print to a shared network printer or to a file on a disk. This setting is ignored for EPS and Archive formats.

PostScript error info

Specifies whether to print PostScript error messages after your document has been printed. The PostScript print driver can detect certain errors that Windows cannot. If you are having printing problems, click this option. This information may help you, a system administrator, or a product-support representative determine what caused the problem. The error message information is not included in EPS format.

Advanced

Click the Advanced button for advanced PostScript options:
Figure 4-27 Advanced PostScript options PostScript language level specifies which level of PostScript language to use. Some printers support both level 1 and 2. If your printer supports level 2, it is probably best to use level 2. Bitmap compression specifies whether to compress graphics before sending your document to the printer. If you are using PostScript level 2, or if you are using PostScript level 1 and a printer connected to a serial port, click Compress bitmap images. For PostScript level 1 and a printer connected to a parallel port or a network printer, click No bitmap compression. Data format ACSII data sends data in ASCII format (7-bit), which may take longer to print but can be sent through any I/O channel, such as a serial, parallel, or network port. If you select this option and you see a Send Mode button, click it to switch your printer to ASCII for future print jobs. Binary communication protocol sends all data except special control characters in binary (8bit) format. This format can be sent over parallel or serial communications ports and is faster than sending data in ASCII format. If you select this option, click Send Mode to switch your printer to Binary Communications Protocol (BCP) for future print jobs. Tagged binary communications protocol sends all data except special control characters in binary (8-bit) format. This format can be sent over parallel or serial communications ports and is faster than sending data in ASCII format. Pure binary data sends all data in pure binary format, which is the fastest format to print but can be sent only over network cables or AppleTalk. Send CTRL+D before job sends a CTRL+D to notify the printer that the current job has finished printing and to reset the printer. If you are printing over a UNIX-based network, such as Banyan VINES, AT&T StarGROUP, or Sun, you may need to clear these settings.

To gain access to the HP EWS Device Configuration utility, follow these steps: 3 Open the HP Director. Click Settings.

HP Image Zone HP Image Zone is an easy, full-featured software application that helps you view, organize, edit, print, and share your digital photos, and use them in creative projects. Look at your Windows Desktop for the HP Image Zone or HP Image Zone Express icon to determine which application is installed. If you have previously downloaded and installed the HP Image Zone Express application from the HP web site before installing your HP device, you may have both HP Image Zone and HP Image Zone Express installed. Both applications may be safely installed on a PC at the same time, and you may use either of the applications depending on your preference. When HP Image Zone and HP Image Zone Express are installed on the same PC, HP Image Zone will be the default imaging software program that opens when images are transferred from cameras or cards using the HP Image Transfer software, or scanned using the HP scanning software. To change the default imaging software program that you use to view images scanned by using HP scanning software, open the HP Director and select the Settings menu. Select the Scan Settings and Preferences and then select the Scan ToSetup option to change the default software program that opens after scanning is completed. To place images in the Projects tab template, first select the images you want in the My Images tab and place them in the selection tray. When you open a project template, your selected images will be placed in the template automatically. If you cannot see some of your photos in the thumbnail viewer, it may be because there are unsupported characters in the name of the file. Try re-naming the file without any special characters in the filename.
