Aastra SIP 480i IP Phone User Guide explains the most commonly used features and functions for an end user. Aastra SIP 480i/480i CT/9112i/ 9133i IP Phone Administration Guide explains how to set the 480i phone up on the network and contains advanced configuration instructions for the 480i. This guide has instructions that are at a user level.

General Requirements

A SIP-based IP PBX system or network installed and running with a number created for the new 480i IP phone. Adherence to SIP standard RFC 3261. Access to a configuration server where you can store the firmware image and configuration files. The configuration server must be able to accept connections anonymously. The IP phone must be configured for a specific type of protocol to use. (TFTP is enabled by default). You can configure the following protocols on the IP phone:
- TFTP (Trivial File Transfer Protocol) - FTP (File Transfer Protocol) - HTTP (Hypertext Transfer Protocol) A 802.3 Ethernet/Fast Ethernet LAN Category 5/5e straight through cabling Power over Ethernet (PoE) power supply (optional accessory necessary only if no inline power is provided on the network).

Installation and Setup

If your system administrator has not already setup your 480i phone, please refer to the Aastra 480i Installation Guide for basic installation and physical setup of the 480i. For more advanced administration and configuration information, system and network administrators should refer to the Aastra SIP 480i/480i CT/ 9112i/9133i IP Phone Administration Guide.

Getting Started

When You First Plug in Your Phone
The 480i automatically begins the startup sequence as soon as it is connected. The phone goes through this process the first time you plug in your phone and every time you restart your phone. The first screen to display is the Aastra splash screen.

Startup Screens

After the phone displays the Aastra splash screen, or after downloading an update (if an update was available), the phone displays the Idle State screen.
Mon Apr 17 11:30pm Joe Smith 1101 Sales Dept Voice mail DND Call Home Call Fwd More
Note: The Idle State screen on your phone may not look exactly as the figure above. The softkeys and configuration shown are an example of what could be set up on your phone by your system administrator.

Updating Your Phone

After displaying the Aastra splash screen, the 480i checks settings and checks for new configuration and firmware updates on the configuration server. If a new update is found, the phone displays the update it is installing (either "Updating Config" or "New Firmware"). This may take a few moments while the configuration server downloads the latest updates. Your system or network administrator manages the updates for the IP phones on the configuration server. Important! Do not unplug or remove power from the phone while it is checking and installing firmware.
60% Checking for Firmware Do not unplug phone!

Network Disconnected

The "Network Disconnected" prompt appears on the display and the telephone status light turns on when the phone is not properly connected to the network. The phone also displays the default time and date of 12:00am Jan 1st, 2005 or the equivalent. Check that the cables are tightly connected to the phone and to the wall jack. The phone should automatically detect when it is reconnected and will display the "Network Connected" prompt for a few seconds. However, if changes have been made to your phones network settings, you may need to restart your phone. For more information about connecting your phone, see the Aastra 480i Installation Guide, the section, "Connecting to the Network and to Power". Check with your system or network administrator for assistance.

Troubleshooting

Why is my display blank?
Ensure that power is being provided to your phone. If your network does not provide inline power over Ethernet, you can obtain an additional accessory, the Aastra PoE (Power over Ethernet) inline power supply, to provide power over Ethernet locally to your phone. See the section Connecting to the Network and to Power in the Aastra 480i Installation Guide for details.
Why doesnt my phone ring?
Check the ring volume on your phone. It may be turned down or turned off. To adjust the ringer volume setting, press the volume button when the phone is on-hook and idle. For more information, refer to the Adjusting Volume section in the Aastra 480i Installation Guide provided with your phone.
Why is the light not coming on with a new Voice Mail Message?
Your phone system or service provider must provide Visual Message Waiting service for this function to work. Check with your system administrator for more information.
If you press the d /f button and the speaker light flashes and you do not hear dial tone through the speaker phone, the Set Audio option in the phones Options list has been set up for headset use. Press d /f a second time and if the light goes out, the phone has been set up to be used only with a headset or handset. If the light stays on steady and you hear dial tone, the phone has been set up so that you can alternate between the speakerphone and the headset by pressing d /f. See the section Customizing your phone in the 480i Installation Guide for instructions on how to change the Set Audio option.

Upgrade Notes
This section provides notes that customers should be aware of before upgrading to IP phone firmware release 1.3.1. Aastra Telecom recommends that customers read this section completely and thoroughly prior to the upgrade to avoid any known issues with the upgrade process. The recommended base IP Phone firmware to upgrade to this new firmware release is 1.2.2 or 1.3.0. Users who previously adjusted the audio transmit and receive gains for the Aastra IP Phones should reset the values to 0 and re-tune their phones again with release 1.3.1 if necessary. This is required to avoid high transmit levels heard by the far-end after upgrading to 1.3.1. To set audio transmit and receive gains in the 1.3.1 configuration files, see this release note, section 5.15 Manual Audio Transmit and Receive Gain Adjustments (optional) on page 36. Users upgrading from release 1.2.2 to 1.3.x may experience post-upgrade configuration issues IF they previously configured their phones solely using the telephone user interface or Aastra Web user interface. Users may need to reconfigure their settings again after the upgrade due to new file system enhancements. This issue does not affect customers who configure their phones using a TFTP/FTP/HTTP server. Users who wish to downgrade from release 1.3.1 should do so to release 1.2.2 to restore the 1.2.x file system structure. Failure to downgrade to version 1.2.2 may result in configuration parameters being ignored.

BLF Key Dialout
A feature enhancement has been added to the original BLF and BLF/List functions on the 480i, 480i CT, and 9133i IP phones. On these model phones, you can now dial out on the configured BLF or BLF/List line. If a softkey on the 480i or 480i (CT), or a programmable key on the 9133i is defined as a BLF or BLF/List key, a user or administrator can press the softkey to automatically dial out using the configured extension.
Automatic Update of Firmware/Configuration Files
A feature has been added to the IP phone that allows an administrator to enable the phone to be updated automatically once a day at a specific time in a 24-hour period if the files on the server have changed. This feature works with TFTP, FTP, and HTTP servers. An administrator can enable this feature using the Aastra Web UI or using the configuration files (aastra.cfg and <mac>.cfg). Notes: 1. If a user is accessing the Aastra Web UI, they are not informed of an auto-reboot. 2. Any changes made using the Aastra Web UI or the IP phone UI are not overwritten by an auto-resync update. Auto-resync affects the configuration files only. However, the settings in the Aastra Web UI take precedence over the IP phone UI and the configuration files. 3. The resync time is based on the local time of the IP phone. 4. If the IP phone is in use (not idle) at the time of the resync check, the reboot occurs when the phone becomes idle. 5. The automatic update feature works with both encrypted and plain text configuration files. When configuring via the Aastra Web UI, the administrator can set the period of time in the Time (24-hour) field, for which the IP phone is automatically updated. In the Aastra Web UI, the time is in 30 minute increments. Valid values are 00:00 to 23:30. The value of 00:00 is 12:00 A.M. An administrator can also set the period of time for which the IP phone is automatically updated using the auto-resync time parameter in the configuration files. Valid values for the auto-resync time are 00:00 to 23:59 and can be entered using minute values from 00 to 59 (for example, the auto resync time can be entered as 02:56). The value of 00:00 is 12:00 A.M. Notes: 1. Auto-Resync adds up to 15 minutes random time to the configured time. For example, if the auto resync time parameter is set to 02:00, the event takes place any time between 02:00 and 02:15. This prevents several phones from accessing the server at the exact same time. 2. When the language on the phone is set to French or Spanish, you must enter the auto resync time in the format 00h00 in the configuration files.

In the configuration files, the following new parameters have been added to enable the automatic update of the IP phones.
Parameter Aastra Web UI: Advanced Settings->Configuration Server Configuration Files: aastra.cfg, <mac>.cfg Enables and disables the phone to be updated automatically once a day at a specific time in a 24-hour period. Bridged Line Appearance (BLA) (not supported on 9112i)
A SIP bridge line appearance (BLA) feature has been added to the IP phones. BLA allows multiple devices to share a single directory address (DA). For example, people working at a technical support department could be located in different places. If their desktop phones are configured for BLA DA, when customer calls come in, all the phones with the BLA DA would ring but the call can only be answered by one of them. Once the call is answered, the rest of the phones reflect the status of the call. If the call was put on hold by the original recipient, any one from the group can pick up the call. Notes: 1. This feature is dependent on the IP telephony system to which the IP phone is registered and according to draft-anil-sipping-bla-02.txt. 2. Interactive Intelligence and Sylantro servers support the single BLA group with single line appearance feature only. You can apply BLA on the IP phones as follows: As a single BLA group - One BLA DA is shared among multiple phones. Only one phone at a time can pick up an incoming call or initiate an outgoing call on the BLA DA. All phones reflect the usage of the BLA DA. If the call is put on hold, any one from the group can pick up the held call. As a multiple BLA group - On one single phone, multiple BLA DA can be associated with different line appearances. Every BLA DA is independent from each other and follows the same rules as a single BLA group. As multiple instances of a BLA DA - A x-line-id parameter was defined in draft-anilsipping-bla-02.txt to present the incoming call to or place an outgoing call on the specified line appearance instance. The parameter is carried in Alert-Info header field over the request-URI (INVITE e.g.) or in the NOTIFY messages to report the status of a dialog.
BLA DA can be configured on a global basis or on a per-line basis on the IP phones using the Aastra Web UI or the configuration files (aastra.cfg and <mac>.cfg). The following table shows the number of lines that can be set to BLA for each model phone.
IP Phone Model 480i 480i CT 9133i Possible Number of BLA Lines 9

When configuring the BLA feature on a Sylantro server, the value set for the sip lineN bla number parameter shall be the same value set for the sip lineN user name parameter for all the phones in the group. For example, if sip lineN user name is 1010, you would configure BLA on a per-line basis for the Sylantro server as follows: sip line1 user name: 1010 sip line1 bla number: 1010 (# for all the phones)
For ININ Server: When configuring the BLA feature on an ININ server, the parameter to use is sip lineN bla numberN. The value set for the sip lineN bla numberN parameter shall be the same value set for the sip lineN user name parameter without the incremented phone #. For example, if the sip lineN user name for the first phone is 10101, and the sip lineN user name for the second phone is 10102, etc. you would configure BLA on a per-line basis for the ININ server as follows: sip line1 user name: 10101 sip line1 bla number: sip line1 user name: 10102 sip line1 bla number: 1010 sip line1 user name: 1010 sip line1 bla number: 1010 (# for phone 1 with appearance of phone 3) (# for phone 2 with appearance of phone 3) (# for phone 3)

5.12 State-Based Softkey Configuration and Softkey Type Empty
(480i/480i CT only) A new feature on the 480i and 480i CT IP phones allows users and administrators to configure a specific state to display when a softkey is being used. Available states you can configure for each softkey include: idle connected incoming outgoing The phone is not being used. The line currently being displayed is in an active call (or the call is on hold) The phone is ringing. The user is dialing a number, or the far-end is ringing.
By default, the softkeys display in the states of idle, connected, incoming, and outgoing. You can configure the softkey states using the Aastra Web UI or the configuration files (aastra.cfg, <mac>.cfg).
The softkey states are enabled by default. You can disable all or specific states for a softkey at Operation->Softkeys and XML, by selecting a softkey and removing the checkmark from the state you want to disable (idle, connected, incoming, outgoing).
The following new parameter has been added to support the configuration of softkey states: softkeyN states: <value>
Valid values for this new parameter are idle, connected, incoming, and outgoing. You can enter multiple values for this parameter separated by white space. For example: softkey12 states: idle connected The softkey state parameter that you enter in the configuration files must be associated with a specific softkey. In the following example, the softkey states parameter is associated with softkey 12: softkey12 type: speeddial softkey12 label: voicemail softkey12 value: *89 softkey12 states: outgoing Note: The IP phone idle screen condenses the softkeys. So in the previous example, softkey 12 will appear in position 1 if no other softkeys are set. A softkey type of empty does not display on the idle screen at all. (For more information about the softkey type of empty see section 4.12.1).

Using the Aastra Web UI, you configure a primary TFTP Server at Advanced Settings->Configuration Server, and in the TFTP Server field, enter a domain name (for example, 123.ana.aastra.com). You can also enter a domain name for an alternate TFTP server in the Alternate TFTP Server field. You configure the Time Server at Advanced Settings->Network->Advanced Network Settings, and in the Timer Server 1, 2, or 3 fields, enter a domain name (for example, 123.ana.aastra.com).
You use the following parameters to configure the TFTP Server and the Time Server in the configuration files: tftp server: <domain name or IP address> alternative tftp server: <domain name or IP address> time server1: <domain name or IP address> time server2: <domain name or IP address> time server3: <domain name or IP address>
5.14 Language Localization (480i, 9112i, 9133i only)
In release 1.3.1, the Models 480i, 9133i, and 9112i IP phones now support German and Italian languages for the IP Phone UI. Please refer to your product-specific User Guide or Administrators Guide for instruction on changing your language preference.

Additional Features for 480i and 480i CT 5.15 Incoming/Outgoing Intercom Feature with Auto-Answer
(480i/480i CT only) A new incoming and outgoing Intercom feature complemented by the auto-answer feature has been added to release 1.3.1 of the IP phones. The Intercom feature allows you to press the Icom button (]) and then enter the number you want to call to initiate an intercom call which is controlled either locally (phone-side) or by the SIP server (server-side). Note: Auto-answer is applicable to all IP phone models, but the Intercom feature is applicable to the 480i and 480i CT only. For outgoing intercom calls, an available unused line is found when the Icom button is pressed. Since this line has no configuration, the phone applies an existing configuration ("Outgoing Intercom Settings", Line, default is Line 1) to this line in preparation for placing the intercom call. For example, an outgoing intercom call can use the configuration of line 1 but places the actual intercom call using line 9. A phone-side Intercom call indicates the phone is responsible for telling the recipient that an intercom call is being placed, while a server-side intercom call means the SIP server is responsible for informing the recipient. Server-side calls require additional configuration of a prefix code. After pressing the Icom button and entering the number to call, the phone automatically adds the prefix to the called number and sends the outgoing call via the server. For incoming intercom calls, you can enable (turn ON) or disable (turn OFF) the microphone on the IP phone for intercom calls. You can also enable or disable auto-answer. If auto-answer is enabled on the IP phone, the phone plays a tone to alert the user before answering the intercom call. If auto-answer is disabled, the phone rejects the incoming intercom call and sends a busy signal to the caller. By default, the microphone is disabled and auto-answer is enabled. You can configure the Intercom feature using the Aastra Web UI or the configuration files (aastra.cfg and <mac>.cfg). Note: An administrator can configure the incoming and outgoing Intercom feature. A user can configure the incoming Intercom feature only.

The following softkey functionality is available to the developer for the purpose of reordering or preserving the default functionality of the XML screens. The Dial function is available to screens that allow input. The dial string for the Dial function is taken from the menu items URI on the Menu Screen, and from the editor field input on the Input Screen.
Existing Action Buttons Select Exit Dial Submit BackSpace NextSpace Dot ChangeMode Text Screen X Menu Screen X X X Input Screen X X X X X X X
Additional Enhancements Default Character Set Changed The default character set for the XML API is ISO-8859-1 (previously was UTF-8). Enhancements to the XML Objects Additional enhancements to this new XML API feature have been implemented for the Text Screen, Input Screen, and Menu Screen objects. Text Screen Custom URIs can now be added to the Text Screen object. The destroyOnExit attribute, currently used by the User Input Screen and Text Menu Screen objects, is now available for the Text Screen object as well.

User Input Screen A new parameter called editable has been added to the root tag of the User Input Screen. When set to no, the user cannot edit the input in the screen. For example:
<AastraIPPhoneInputScreen type="string" editable="no"> <Title> Dial Screen </Title> <Prompt> Number to dial </Prompt> <URL /> <Parameter /> <Default>5551234</Default> <SoftKey index = "1"><Label>Call</Label><URI>SoftKey:Dial</URI></SoftKey> </AastraIPPhoneInputScreen>
Text Menu Screen When a user accesses an arbitrary URI via a custom soft key, the menu screen sends a bit of information regarding the users currently selected option using a new XML tag called <Selection>. This new tag is optional and is appended to the URI of the custom soft key. The following example shows the use of the new XML tag <Selection>.
<AastraIPPhoneTextMenu defaultIndex = 1> <Title>Parameter Tester</Title> <MenuItem> <Prompt>First Selection</Prompt> <URI>http://someserver/somepage.xml</URI> <Selection>dataToAppend</Selection> </MenuItem> <SoftKey index = 1> <Label>Custom Key</Label> <URI>http://someotherserver/someotherpage.xml</URI> </SoftKey> </AastraIPPhoneTextMenu>
In the above XML API, when a user selects item 1 and presses soft key 1, the URI requested is http://someotherserver/someotherpage.xml?selection=dataToAppend. If a ? already exists in the URI, then a & is used to separate the parameters. Note: The parameter name selection is automatic. If the <Selection> tag is omitted, then nothing extra is appended to the URI. In addition to the new XML tag, the Text Menu screen now has a defaultIndex attribute available in the root tag (also shown in the above example). This attribute is an integer index that forces the cursor to the specified line when the screen is loaded.
