Characterization of the instructions for use
The instructions for use (also referred to as user guide, operation manual, and so on) are essentially a book-length document containing instructions on installing, using, or troubleshooting a product (McMurrey). The instructions for use possess an extensive number of in common features concerning their style and form. These in common features accentuate the element of stereotypicality in this type of text.
From stylistic point of view, this type of text falls into technical style.

According to Knittlov:

This function implies that the basic presupposition of approaching the instructions for use concerns the possession of some level of special knowledge. The proper understanding of this type of text requires apprehension of stylistic patterns which govern it. Based on the Crystals Dimensions of situational constraint (64), evaluation of these patterns is divided into 3 basic dimensions applicable to the instructions for use: 1 Province 2 Status 3 Modality
The style of science and technology is the basic style of informative literature. Its function is to transmit specialized message; specialized in broad terms because administrative style is also specialized in its own way. (translated form Czech by the author of this thesis)

1.1.1 Province

Crystal defines that: In this dimension we describe the features of language which identify an utterance with those variables in an extra-linguistic context which are defined with reference to the kind of occupational or professional activity being engaged in. (71) According to this dimension, the user guides fall into the category of product documentation. However, due to the fact that products come with an extensive number of other documents (warranty cards, specific absorption rate (SAR) certificates, and so on), this category has to be divided into subcategories. Therefore, more precisely, manuals come under the operational documents (Urbanov, and Billingham 100).

1.1.2 Status

According to Crystal: In this dimension we describe systematic linguistic variations which correspond with variations in the relative social standing of the participants in any act of communication, regardless of their exact locality. (73-74) The status features show that the social standing of instructions for use creators shifts in the different parts of these publications. In their descriptive parts, which explain what to do in order to successfully accomplish operationrelated procedures, the creators do not mark their social standings as superior; they just kindly provide information. Whereas, in the parts devoted to warning and precautions, they form an authority, which states what must or must not be done in order to ensure that the product usage will not have negative consequences.

Semicolon

The instances of semicolon usage can be traced in almost each of the examined publications. Its importance is stressed by the distinguished patterns of its presence in the manuals. In the English versions of examined instructions for use, usage of this punctuation mark is connected with 2 groups of phrases and sentences: Compound sentences Enumerations of items with internal punctuation

Compound sentences

In the examined publications, authors often need to stress logical connection between sentences, which would not be achieved by dividing these sentences using periods. Therefore, semicolons are widely used to punctuate the lines of division between related simple sentences, which are joined together into compound sentences. This join is accomplished either solely by a semicolon or by a semicolon followed by a connecting adverb; such as however, otherwise, and so on (Alexander 10). To name a few examples: Your oven has four microwave defrost settings:- MEAT, POULTRY and BREAD; each defrost category has different power settings.5 Support service is free during the warranty period; however, your standard long-distance phone charges will apply.6
This table shows that, the exemplary simple sentences connected into compound senteces are fully comprehensible standing on their owns; nevertheless, their separation by periods would fragmentize their meanings.
Enumerations of items with internal punctuation
Enumerations presented in the scrutinized publications tend to include complex items which contain embedded attributes, other enumerations, and so on. The characteristics of these items imply that they are internally punctuated by commas and, thus, their separation will not be transparent if it is also done utilizing this punctuation mark. Therefore, the semicolon plays a role of separator which clearly delimitates the boundaries of each item in these

enumerations. The clearest example of their structure is presented in OLYMPUS
DIGITAL CAMERA E-420 INSTRUCTION MANUAL:
You can select single-frame erase, which erases only the currently displayed image; all-frame erase, which erases all the images stored on the card; or selected frame erase, which erases only the frames selected.7 The excerpt reveals the importance of semicolon to the

Stiskem tlatka zvraznte symbol osobnho reimu.76,77 The heading and items of this list stand for separate sentences, whose meanings are clear independently from each other; therefore, the colon following the heading should be replaced by a period. Summing up, the list headings in the English versions of examined manuals are not in all of the instances followed by colons. In some of the publications the usage of this punctuation mark after the list headings is selfevident whereas in other publications it is avoided at all costs. Importantly, the Czech translators almost thoughtlessly copy these English patterns of colon usage, not taking into consideration the fact that in Czech there exist strict rules concerning this issue. Examples show that this copying very often leads to the incorrect omission or addition of this punctuation mark.

Non-indented headings

Another important instance of colon usage in the examined instructions for use is connected with non-indented headings. In the English versions of these publications, a significant number of headings is not set off from other text by indention. Instead, they are placed on the same line as the first line of paragraph and various methods are used to mark them as headings, such as capital letters, bold and color font, and so on. In addition to that, in order to clearly show where these headings end; they are followed by either colons or, on smaller scale, exclamation marks, dashes or just several non-breaking spaces. These headings are divided into 2 main groups: 1 Repeatedly used non-indented headings 2 Unrepeatedly used non-indented headings

7.2.1 Repeatedly used non-indented headings
With the objective of attracting users attention to the safety precautions, notes on appliance usage, useful tips, and so on; an extensive number of sentences is introduced by short expressions, which are used repeatedly through a manual. These expressions can be easily identified because they contain words such as warning, caution, attention, note, important, tip, points to check, and so on; whose roles in concrete publication are very often explained on one of the first manual pages, for example: Warning: Notes that concern your Attention: Notes that show how to personal safety.78 avoid damage to the appliance79

Importantly, as to the punctuation, these non-intended headings are predominantly marked by colons; however, in some of the manuals earnestness of attracting the attention is stressed by exclamation marks. To name a few examples showing the usage of both of these punctuation marks: Warning: Do not set the graphic card in your computer to exceed these maximum refresh rates

7.2.2 Unrepeatedly used non-indented headings
Appliances are very often controlled by the various buttons, remote controls, menus, and so on. In order to enable smooth operation of such appliances, the functions of these controls has to be described. In a significant number of examined manuals, non-indented headings followed by short paragraphs are used to explain them. Unique character of these controls implies that these headings are not used repeatedly. As to the punctuation, they are predominantly followed by colons, such as in: Auto adjust : To auto adjust Horizontal Position, Vertical Position, Phase (Fine Tune) and Closk (H. Size) of the screen84

However, the usage of colon after these headings is not characteristic for all of the examined manuals. In OLYMPUS DIGITAL CAMERA E-420
INSTRUCTION MANUAL, the descriptions of menu items are provided in similar
formats: the name of an item in the form of a non-indented heading followed by its description. Nevertheless, as to punctuation, these headings are not unified. Whereas some items are followed by colons, others are not punctuated at all, such as in: [VIVID] : Produces vivid colors. [NATURAL] : Produces natural colors86. [SHADOW ADJ] Brightens a dark backlit subject. [REDEYE FIX] Reduces the red-eye phenomenon during flash shooting87.

These examples show that discrepancies are typical for even those digital camera menu items and descriptions which have similar layout and grammatical structures. In another manual, Brother Quick Setup Guide Laser
Printer HL-2030/2040/2070N, non-indented headings are also used to describe
the functions of controls. But as opposed to other examined manuals, it is the only one where another punctuation mark than colon dash follows these headings, such as in: Toner - LED indicates when Toner is low or empty. Drum - LED indicates when drum is nearing end of life88.
As far as the Czech translations of these 2 types of headings are concerned, their striking resemblance to their English counterparts is of great

importance. In all of the examined manuals, the aforesaid punctuation patterns are retained. Moreover, the English influence is so strong that no other patterns are presented in the examined publications. This implies that translators apparently have not taken into consideration any potential rules specific for the Czech language. To name a few examples of this dereliction: Programme selection buttons: the selection of a washing programme occurs by pressing one of these buttons

Translations of both repeatedly and unrepeatedly used non-indented headings in the examined instructions for use are in sharp contrast with the guidelines presented in the Czech Style Guide:

This rule implies that the division between the usages of different punctuation marks after non-indented headings is quite simple: it just has to be decided whether a heading is used repeatedly of unrepeatedly through a text. Therefore, it is obvious that the simple punctuation retention based on the English originals cannot ensure accuracy and the process of non-indented headings translation has to be approached very critically. Based on critical approach, in the examined manuals, 4 main types of wrongly punctuated nonindented headings can be distinguished: the repeatedly used non-indented heading followed by exclamation marks, and unrepeatedly used non-indented heading followed by colons, dashes and no punctuation mark at all. As to the correct forms of these headings, the Czech Style Guide states that the first type has to be punctuated utilizing colons whereas the other types have to be followed by periods. Hence, according to this publication, the correct nonindented headings ought to look like this: Incorrect Upozornn! In conclusion, in the examined manuals, the division between nonindented headings is based on the frequency of their occurrence. In the English versions of these publications, the repeatedly used non-indented headings; which are mostly constituted by words such as warning, note and tip; introduce important safety precaution, tips on appliance usage, and so on. The punctuation of these headings takes the form of either colons or exclamation marks. As to the unrepeatedly used non-indented headings, these are predominantly linked with controls. They are followed by colons, dashes or no punctuation mark at all. The Czech translations of these headings implicitly retain the punctuation of the originals despite the fact that in Czech there are quite different rules concerning this issue. Thus, a large number of repeatedly used non-indented headings, which are not followed by colons, and unrepeatedly used non-indented headings, which are not followed by periods, is punctuated incorrectly.

Indented headings

On smaller scale, in the examined instructions for use, the usage of colon can be traced also after the indented headings followed by regular paragraphs.

7.3.1 Repeatedly used indented headings
This group stand for the most frequently used instance of colon usage after indented headings in the English versions of the examined manuals. As to the characteristic features of these headings, apart from the obvious fact that they are not positioned on the same lines as the first sentences of subsequent paragraphs, they resemble their non-indented counterparts: they serve the same purpose of attracting user's attention and are recognizable by the same expressions (warning, note, and so on). Their punctuation is mostly similar to the non-indented headings due to the fact that they are mostly followed by colons and exclamation marks; however, the examination of manuals shows that exceptions to this rule exist because in few of these publications these headings are not punctuated at all. To name a few examples of differently punctuated repeatedly used indented headings: FCC Warning: To assure continued FCC compliance, a user must use a grounded power supply cord 102 Note: If it is difficult to remove the cartridge, lift the cartridge with more force until comes out.103

These examples clearly illustrate the division in the punctuation mark usage after this type of headings.
7.3.2 Unrepeatedly used indented headings
In the examined manuals, the instances of these headings followed by colons are not as widespread as their non-indented counterparts. Among the examined manuals, there are 3 publications in which colons are widely used after these headings. First, in LAVAMAT 62800 Washing machine User information, the indented subheadings which have similar font size as other text and introduce operation-related actions are followed by colons, such as in: Releasing the child safety device: Turn the knob anti-clockwise as far as it will go.106 Second, in

As for the Czech translations of these 2 types of indented headings, the patterns utilized by translators to localize their punctuation are similar to those mentioned in the section concerning non-indented headings. Translators again completely copy the English instances of colon usage into Czech. This guideline implies that in contrast with the colon usage after headings, in this instance, the retention of colon in the Czech translations does not negatively affect the correctness of examined manuals.
In conclusion, the examination of instructions for use shows that the discrepancies concerning the colon usage are predominantly connected with the headings. In the English versions of manuals, these headings take the different forms (list headings, non-indented headings and indented headings) and are governed by the various patterns of punctuation mark usage. Importantly, these patterns are also adopted in the Czech translations without taking into consideration that this retention is very often in sharp contrast with the rules presented in the Czech Style Guide. The following tables summarize the correct forms of headings which are originally marked by colons in the Czech versions of publications:

These tables illustrate the scale of discrepancies connected with the colon usage. Due to the fact that in Czech colons are used only in 2 of 5 above mentioned instances, it stands for the significant source of mistakes in the examined manuals. As for the other instances of colon usage, they are also characteristic of the colon retention, but, in contrast with the headings, they are not the sources of mistakes because this retention is done in compliance with
Pravidla eskho pravopisu.

Quotation Marks

The quotation mark stands for a widely used punctuation mark in the examined instructions for use. In order to examine the potential sources of problems with its usage, it is necessary to distinguish how it interacts with text. Based on the analysis of the manuals, there are 3 main sources of problems: 1 Form 2 Usage 3 Reciprocal relation to other punctuation marks

can be used as quotation marks (65). The Czech Style Guide tightens this rule, specifying that:

Summing up, in contrast to the examined English instructions for use, their Czech counterparts are characterized by a substantial number of different symbols used as quotation marks. In fact, in the examined publications there are as many as ten different combinations of symbols serving the purpose of this punctuation mark. The inconsistency of transferring this punctuation mark into Czech can be seen not only when comparing and contrasting different manuals, but frequently also within one publication. Nevertheless, according to the Czech Style Guide, translators should use strictly only one type of quotation marks low 9 quotes and 6 quotes.

Style Guide, which says that: Do uvozovek se zpravidla p sti vt, kter se maj odliit od ostatnho textu Pi lokalizaci se pouvn uvozovek nedoporuuje, pestoe se v nkterch ppadech pouvaj ke zvraznn nzv ovldacch prvk nebo soubor v anglick verzi.158
This rule is rather unclear and ambiguous with regard to the translation into Czech. On the one hand, it discourages translators from using quotation marks; on the other hand, it creates gray area because it does not specify to what extent its recommendatory character should overrule the need to highlight some specific parts of the manuals. Hence, it is not guaranteed that proceeding in compliance with this recommendation will not negatively affect the logical flow of the text, which can result in the wrong interpretation of the information presented in manuals. To illustrate this point, if the quotation marks had been omitted in the following example, the comprehensibility of the OLYMPUS

Reciprocal relation to other punctuation marks
Last but not least, the important source of discrepancies is connected with the interaction between quotation marks and other punctuation symbols. The problems are caused by different placement of periods, commas, question marks and similar symbols either before or after the last quotation mark. For example, in OLYMPUS DIGITLN FOTOAPART E-420 NVOD K OBSLUZE the references to other parts of the publication are followed by a period. Yet, in some cases the period precedes the last quotation mark whereas in other cases it follows the last quotation mark.
