SYSTEM OVERVIEW

SEC regulations require that all received and transmitted fax documents must be archived and reviewed by supervisors. Without the automated system, each employee in a company has to make a photocopy of all received and transmitted fax documents and file them for a supervisors review. Our system will automate the duplication of all received and transmitted fax documents and electronically archive the documents utilizing the following system components: ! ! ! ! Panasonic DX-1000/DX-2000 facsimile transceiver Panasonic UF-585/595 facsimile transceiver SMTP Internet Mail Server Email client software
How does the system work? The system requires the fax machine to automatically forward all faxes and add the supervisor as an additional recipient every time. Panasonic DX-2000, DX-1000, UF-595 and UF-585 are capable of handling the above requirements. The DX-1000/2000 can be connected to both a regular telephone system for regular G3 fax communications and a local area network (LAN) for Intranet/Internet e-mail communications. Therefore the DX-1000/2000 is able to send paper-based documents to either a regular G3 fax machine or an e-mail address as an e-mail attachment (TIFF-F image file format). The DX1000/2000 receives and prints text-only e-mails and/or TIFF-F image file attachments. The UF-595/585 is a compact laser fax machine which can only be connected to a regular telephone system.
Forwarding Received Faxes The DX-1000/2000 can be preprogrammed with an e-mail address to which the DX-1000/2000 forwards all the incoming faxes. It will forward them as e-mail to the preprogrammed supervisors e-mail address immediately after printing out the received faxes. The UF-595/585 can be preprogrammed with a fax phone number to which all incoming faxes are forwarded too. The UF-595/585 will dial and send the documents to the preprogrammed supervisors fax number and then print out the received faxes.
Permanent CC (Carbon Copy) Transmission Every time an operator sends a fax from the DX-1000 to single or multiple locations, it will send faxes as e-mail to the preprogrammed supervisors e-mail address in addition to the operator-entered fax numbers or e-mail addresses. The UF-595/585 sends a fax to the preprogrammed supervisors fax number as well as the operator-entered fax numbers.
System Configuration Recommendation E-mail based Fax Forwarding and CC transmission are the most efficient and effective system for electronic archiving. The DX-1000/2000 requires a LAN-based Intranet/Internet e-mail system. The UF595/585 can handle fax forwarding and CC transmission via a regular telephone system only.

Sending and Receiving at the LAN Based Office Fax machines today have a transmission speed ranging from 9.6kbps to 33.6kbps. The DX-1000/2000 is capable of communicating with the mail server at a speed much faster than other conventional fax machines. In addition to the communication speed, the DX-1000/2000 does not require lengthy dialing time and waiting time for a line connection.
Internet Facsimile settings that are required The Internet fax needs a minimum of 5 parameters set on the fax machine itself to operate properly on a LAN. These 5 settings must be provided by the Network Administrator and then programmed into the machine. The 5 parameters are: 1. 2. 3. 4. 5. Sending and Receiving At An Office Where No LAN Based E-mail System is Available The UF-595/585 handles Fax Forwarding and CC Transmission via a regular telephone system. If the receiving fax machines at the supervisors offices are used for both regular faxing needs and receiving Fax Forwarding and CC Transmission, he or she needs to manually sort all the received faxes into two. If the supervisors fax machine is the DX-1000/2000, it will be able to distinguish reception of Fax Forwarding and CC Transmission from regular incoming faxes. The UF-595/585 can be preprogrammed with its supervisors fax number. If the fax number includes the SUB-address, which represents the supervisors e-mail address, the DX-1000/2000 will automatically route the received fax to the supervisors e-mail address WITHOUT printing it out. The fax reception will be printed and forwarded to the supervisors e-mail address. CC (Carbon Copy) Transmission by UF-595/585 A) The UF-595/585 will send the documents via the phone line to the DX-1000 with the SUBaddress associated with the supervisor's email address. B) The UF-595/585 will send the documents via the phone line to the client's fax machine. C) The DX-1000 will receives the documents into the memory and automatically route it to the supervisor's email address.

Auto Filtering and Sorting of Received E-mails (two types described) Type 1 Filtering Most leading e-mail client software has filtering and automatic archive functions. Every DX-1000/2000 has a unique e-mail address. Therefore, the supervisors e-mail client software is configured to move received e-mails into sub-folders, which corresponds to e-mail addresses of forwarding DX-1000s/DX2000s. Each Fax Forwarded by the DX-1000/2000 will be automatically sorted and archived by each DX1000/2000s unique e-mail address within the supervisors e-mail inbox. In addition, the supervisors DX1000/2000 functions as a gateway between the supervisors e-mail Inbox and the UF-595/585. When the DX-1000/2000 receives fax messages from the UF-595/585, it receives the UF-595/585s Fax ID code during the handshake. The DX-1000/2000 is able to include the UF-595/585 Fax ID within the From line when it forwards received faxes as e-mail to the supervisors Inbox. Therefore, it is possible to configure the supervisors e-mail client software to move received e-mails into sub-folders that correspond to the original sending UF-595/585s Fax ID. This way, each fax forwarded by a DX-1000/2000 will be automatically sorted and archived by each DX-1000/2000 e-mail address within the supervisors e-mail inbox.

Received "Faxes" in the supervisor's inbox can be automatically moved to the folder specified in the filtering rules. (i.e. Move any items from "Fax:+2013926322" to the "Client Y")
Type 2 Filtering In addition to all of the Type 1 filtering capabilities, Type 2 filtering accommodates automatic sorting of multiple emails that originate from a single DX-1000/2000. In this case, you have multiple users sharing one DX-1000/2000 for all of their fax transmission needs. When these transmissions are forwarded to the supervisors email address, they will all have the same remote ID. Subsequently, the supervisor must open each email, verify the sender, and then manually file it. With Type 2 filtering, the DX-1000/2000 can be programmed to use the sender selection feature to identify the sender of the document. In this case, the email is forwarded to the supervisor with the senders email address shown in the From field. With this information, the email client can automatically filter the incoming document. This technique works well for up to 24 senders. If more than 24 senders are required, the DX-2000 can be programmed to use the sub-address feature to identify the sender (ID) of the transmission. The DX-2000 can be used in this manner for up to 199 senders (sub-addresses). The below chart shows the application workflow in the case of both Type 1and Type 2 filtering, where the DX-1000/2000 is the originating sender.

1. The DX-1000 produced before June, 1999 requires firmware update. The 3 through 6 digits of the serial number indicates production year and month. (Ex. 01990400001: April, 1999). 2. To determine what level software you have in your machine, you must print out a Function parameter list. This print out is generated by entering the Service mode. To prevent an unauthorized access to the SET MODE, you can program an Access Code. Follow the steps below:

Sending Documents

Sending documents with the Type 1 Function
There is no special operation on the fax machine. It is the same as sending an ordinary fax.
Sending documents with the Type 2 Function
A sender must be selected or a User ID must be entered before the fax machine will begin storing the document. DX-1000 Operational Flow:
Set the document(s) in the ADF
ENTER STATION(S) THEN PRESS START TEL NO. 5551234
Enter the station(s) using the One-Touch keys, Abbr. #s and/or numeric keypad and press START Enter 00-24 or use the up/down ( or ) scroll keys to select a Sender Ex: 1 2
SELECT SENDER(00-24) ENTER NO. OR 12 PANASONIC SALES sales@panasonic.com
Press START The document(s) begin to store into memory with a file number. Then starts sending to the Supervisors email address/fax telephone number and then your desired destination fax machine.

Note: If START is pressed without selecting the Sender, the machine will not scan the documents.
